Donor Journeys Enhanced with Opportunity Tracking and Automations

What Is Portfolio Management?

Portfolio Management builds upon Donor Journeys by turning them into opportunity tracking tools — helping your organization manage gift pipelines, forecast revenue, and evaluate fundraising performance

It allows you to:

  • Assign financial values and probabilities to donor relationships.

  • Track progress through pipeline stages.

  • Measure total, and weighted, opportunities for each fundraiser or team.

Portfolio Management transforms donor journeys into a moves management system — helping you plan, prioritize, and track major giving opportunities effectively. Portfolio Management, along with Donor Journeys, are part of the Moves Management module. This module is an add-on to an active Premier Plan subscription.

Creating a Portfolio

To start a portfolio donor journey:

    1. Navigate to Automations → Portfolio Management.

    2. Click New Portfolio.

    3. Choose a template (e.g., Major Donor Pipeline, Lapsed Donor Recovery) or start from scratch.

Activating Portfolio Tracking on a Donor Journey

To convert a donor journey into a portfolio management process:

  1. Open an existing Donor Journey.

  2. Enable Track Amounts and Opportunities.

  3. Save your changes.

Once activated, your journey will display new financial tracking fields, including:

  • Opportunity Amount

  • Probability (%)

  • Weighted Amount (Opportunity × Probability)

  • Open vs. Closed Status

You’ll also see pipeline totals and probability-weighted summaries for quick insights.

Managing Opportunities

When portfolio tracking is active, each contact within the journey can have an associated opportunity record:

  • Define a potential giving amount (e.g., $5,000).

  • Assign a probability of success (e.g., 40%).

  • Add notes for context or next steps.

The system calculates weighted totals automatically — showing both actual and projected revenue. You can easily refresh, edit, or move opportunities between stages, and all values update in real time.

Closing and Outcome Tracking

At any time, you can close an opportunity as:

  • Won – Include the final amount received.

  • Lost – Track outcomes for reporting and analysis.

Closed opportunities feed into your won/lost rates, pipeline summaries, and performance metrics. This helps fundraisers understand where donors convert and where drop-offs occur.

Stage Probabilities

You can also assign a default probability to each stage. For example:

  • Stage 1 (Prospect) → 20%

  • Stage 2 (Engaged) → 40%

  • Stage 3 (Committed) → 70%

When contacts enter a stage, they automatically inherit that probability — though you can override it per contact if needed. This standardizes reporting across your pipeline and helps forecast likely revenue.

Reporting and Analytics

Portfolio Management provides a clear, visual overview of your fundraising pipeline.
You can track:

  • Open opportunities by owner or stage

  • Total pipeline amount

  • Weighted pipeline value

  • Conversion and closure rates

Export reports to Excel for more detailed analysis or integration into board reports.

You don't have to solely use this tool for donors either, you can use this tool to manage grants, sponsorships, or other opportunities, specific to your organization.
