Better.AI Data

Better.AI answers questions about your data, writes summaries of individual donors, and reviews your account overnight for things worth your attention. To do that, it sends parts of your records to OpenAI, which processes them for us as our service provider. This article sets out exactly what is sent, when, and what happens to it.

Nothing is sent until something asks for it

There is no copy of your database at OpenAI. We do not upload your records when you turn Better.AI on, and we do not sync them in the background.

Records are sent one request at a time. Each time you ask Better.AI a question, open a donor summary or plan, or the overnight review finds something worth writing up, we send only the records needed to answer that one request, and we keep no copy of them there.

What we send, and what we never send

The right hand column is enforced in the software, not left to a policy. Better.AI cannot read those fields at all, so no question, however it is phrased, can retrieve them.

The overnight review

Once a day, with nobody signed in, Better.AI looks through your records for things worth your attention: a major donor who has gone quiet, a pledge falling behind, an event tracking behind last year's.

Finding these things happens entirely inside BetterUnite. Nothing is sent anywhere to work out that a donor has lapsed. What is sent is the writing up: to produce the sentence you read on each finding, we send that donor's name and the relevant figures to OpenAI, in the same way a question does.

Turning Better.AI off stops the overnight review with it.

What OpenAI does with your data

  • OpenAI processes your data on our instructions and only to return the answer we asked for. It is [not used to train OpenAI's models / retained for N days for abuse monitoring and then deleted].
  • Your Better.AI chat history is kept so a conversation can continue across sessions. Contact us at support@betterunite.com and we will clear it.
  • Nothing we send identifies your organization to any other BetterUnite customer.

Your donors' data

The records Better.AI sends describe people who are not party to your agreement with us: your donors, volunteers and contacts. You decide what your organization holds about them, and we act on your instructions when we send it.

Turning Better.AI on means confirming that using a service provider in this way is consistent with the privacy notice you gave those people. If you are not sure, that is worth checking before you turn it on rather than after.

Turning Better.AI off

  • You can turn Better.AI off at any time from the Better.AI page. New requests stop immediately.
  • Ask us to delete your chat history and we will delete it.
  • We may disable Better.AI, for your account or in general, at any time and for any reason.

Benchmarks are separate

You may also see comparisons showing how your figures sit against organizations of a similar size. Those are built inside BetterUnite from totals only. Nothing about them is sent to OpenAI, no organization or donor is identifiable in them, and a comparison is withheld entirely unless enough organizations stand behind it.

Benchmark contribution is controlled separately in your account settings and applies whether or not you use Better.AI.
