Bulk Editing Shifts
When you need to update multiple shifts at once — push all Saturday shifts back a week, change the start time for a block of sessions, or update capacity across the board — the bulk edit feature lets you apply a single change to many shifts in one action.
Selecting shifts
- Open your volunteer campaign and go to the Jobs & Shifts tab.
- Each shift row has a checkbox on the left side.
- Check the individual shifts you want to update, or use the select all checkbox in the header to select every shift on the page.
As you select shifts, a bulk action bar appears showing how many shifts are selected and a dropdown to choose your action.
Available bulk actions
Choose one action from the dropdown to apply to all selected shifts:
| Action | What it does | Example |
|---|---|---|
| Shift dates | Moves all selected shifts forward or backward by a number of days | Enter 7 to push every selected shift one week later. Enter -7 to pull them one week earlier. |
| Set time | Changes the start and/or end time for all selected shifts to a specific time | Set start to 9:00 AM and end to 12:00 PM to standardize a block of morning shifts. |
| Set capacity | Updates the volunteer capacity for all selected shifts to the same value | Set to 10 to allow up to 10 volunteers per shift across all selected rows. |
| Update status | Changes the status of all selected shifts (e.g., active, cancelled) | Cancel a block of shifts that were rained out without editing each one. |
Applying the change
- Select the action from the dropdown.
- Fill in the value (number of days, time, capacity, or status).
- Click Apply.
- The change is applied to all selected shifts immediately. The grid refreshes to show the updated values.
Tips for effective bulk editing
- Filter first, then select — If you only want to update shifts on certain days or for a certain job, use the filters on the shifts grid to narrow the list before selecting. This makes it easier to target exactly the right rows.
- One action at a time — Bulk edit applies one type of change per action. If you need to shift dates and change the time, run two separate bulk edits.
- Check your work — After applying, review the updated shifts in the grid to confirm the changes look right. If something went wrong, you can bulk edit again to correct it.
- Capacity affects signups — Reducing capacity below the number of current signups won't remove anyone already signed up, but it will prevent new signups from registering for that shift.
