Changing a Ticket Type

When a guest needs a different ticket than the one they bought, for example moving from General Admission to VIP, you can change the ticket type right on the purchase. The guests, their check-in details and the payment stay in place; only the ticket type changes. You don't need to remove the guest and register them again.

How to change a ticket type

  1. Open the payment record for the purchase.
  2. In the list of purchased items, find the ticket line you want to change and click the ⋮ menu at the end of the row.
  3. Choose Change ticket type. If your event uses sessions, the option reads Change ticket type or session.
  4. Pick the new ticket type from the list. For events with sessions, also pick the session.
  5. Click Update item.

The guests on that line now show the new ticket type in Manage Participants, Guest Check-In and Table Management, and the sold counts for both ticket types update.

Which tickets can be changed

The list only shows ticket types of the same kind as the one purchased:

Purchased ticket Can change to
Single ticket Another single ticket
Group ticket (for example, a table of 8) Another group ticket of the same size or larger
Combo ticket Can't be changed

A single ticket can't be changed to a group ticket, or a group ticket to a single ticket. Raffle tickets, sponsorships and membership sign-ups don't have this option.

If the Change ticket type option doesn't appear, the event has no other ticket type of the same kind to change to.

Changing to a larger group ticket

When you change a group ticket to a larger one, for example a table of 8 to a table of 10, the extra guest spots are added to the purchase as unnamed guests. Fill them in the same way you would for any other guest.

The change applies to the whole ticket line

Changing the type changes every ticket on that line of the purchase. If someone bought 2 General Admission tickets and only one of those guests is moving to VIP, both would change. To move just one guest, remove that guest from the purchase and register them on the correct ticket type, or swap names with a guest on the other ticket type as described in How can I transfer a ticket to someone else?

What happens to the payment

The payment total stays the same. Changing the ticket type does not charge or refund the price difference, and the amount the guest originally paid stays with the ticket.

  • Moving to a more expensive ticket: if the guest owes the difference, collect it separately, for example as an additional donation on their purchase.
  • Moving to a less expensive ticket: if you want to return the difference, issue a partial refund on the payment.

In your reports, the amount paid moves with the ticket. A General Admission ticket bought for $100 and changed to VIP counts as $100 of VIP ticket sales.

Who can change ticket types

Admins with Full Access, or with permission to edit payments, can change ticket types.
