Event Presentations for AV team
Presentations runs the big screens at your event from one link. Build a set of slides (a fundraising thermometer, your auction items, a web page, sponsor images or a spinning wheel for drawings), give the screen link to your AV team, and change what the room sees in seconds during the event.
Plan requirement: Presentations is available on the Event Premier plan.
How it works
- Add slides. A thermometer, the auction showcase filtered to the items you want, any web page, an image such as a sponsor slide, or a spinning wheel.
- Share the screen link with your AV team before the event. They open it on the computer connected to the projector or TV. No login is needed.
- Steer the screens during the event. Let the slides rotate, or put one up with Show Now when the moment comes, like the thermometer during the paddle raise.
Create a presentation
- Open your event and click Edit Event.
- Select Presentations from the event menu. Before your first presentation, you'll find it under Fundraising extras.
- Click Create Your First Presentation (or New Presentation if you already have one).
- Click Add Slide to add your first slide.
You can create more than one presentation for an event, for example one for the main room and another for a lobby or second room. Each presentation has its own screen link.
Slide types
| Slide | What it shows | Options |
|---|---|---|
| Thermometer | Your fundraising progress, live. | The classic event thermometer, or one of the event's custom thermometers. Custom thermometers are created from the event dashboard under Tools, then Thermometers. |
| Auction Showcase | Your auction items with lot number, next bid, buy-now price and a "Scan to bid" QR code. | All auction items, live auction items only, or silent auction items only, and an optional category. |
| Web Page | Any web page. | Enter the web address. |
| Image | A sponsor slide, welcome screen or any other image. | Upload the image, then choose Show the whole image or Fill the screen (the edges may be cropped). A 16:9 image, 1920 by 1080 pixels or larger, fills a projector best. |
| Spinning Wheel | A wheel of entries for a drawing. | Draw entries from tickets and items (choose one or more types) or from a raffle prize's allocations. |
Options on every slide
- Label (optional): only shown in the editor, to help you find the slide.
- Seconds on screen: leave blank to use the presentation's time per slide.
- Include in rotation: turn this off for a slide you only want to put up with Show Now.
Running a drawing with the Spinning Wheel
- Set the presentation to Manual while drawing, so the wheel stays on screen.
- Click Pick a Winner on the presentation screen to spin.
- Each screen runs its own draw, so use one screen for the drawing.
- Winners are recorded through your event's existing drawing workflow.
- Click Reload Screens to include entries added after the screen was opened.
Presentation settings
- How the slides advance: Rotate keeps each slide in rotation up for its time, then shows the next one. Manual keeps one slide up until you pick another with Show Now.
- Seconds per slide: used by every slide that does not set its own time.
- Background color: shows behind images and around pages that do not fill the screen.
Click Save Settings when you're done. The Live Preview in the editor shows what the screens are showing right now.
Share the screen link with your AV team
Every presentation has a Screen Link. You'll find it in the Presentations list and in the presentation editor, each with a Copy button.
- Send the link to your AV team before the event. They open it on the computer connected to the screen and click Full screen (or press F).
- The screen does not need a BetterUnite login, so your AV team does not need a user account to display the presentation.
- Screens update on their own when you change slides or settings. No one needs to touch the projector computer.
- If a page on the screen looks stuck, click Reload Screens in the editor. It reloads every screen showing that presentation.
Anyone with the screen link can view the presentation, so share it only with your AV team. If the link is shared more widely than you intended, open the presentation's menu and select Get a New Screen Link. Screens on the old link show "This presentation link is no longer active," so send the new link to your AV team right away.
Switch slides from the Event Day Kiosk
During the event, you or your team can change what's on the screens from the Event Day Kiosk. Open your event dashboard, click Event Day Kiosk, then select Presentations.
The Presentations page in the kiosk shows each presentation's screen link to copy or open, the slide on the screens now, and a Show now button on every slide.
| Task | Who can do it |
|---|---|
| Copy or open a screen link | Anyone who can view the event |
| Put a slide on the screens with Show now | Anyone who can view the event |
| Switch between Rotate and Manual, include or remove slides from rotation, reload screens | Users who can edit the event |
| Add, change or delete slides, change settings, get a new screen link | Users who can edit the event |
This means you can give an AV volunteer a login with read-only access to the event: they can switch slides during the program without being able to change the presentation or anything else about your event. To set that up, go to Settings > Users, add the user with Custom Access, then give them Read access to the event under Advanced Campaign Privileges. See Add Users for the steps.
Tips for event night
- Open the screen link on the projector computer before guests arrive and leave it running.
- Create a separate presentation for each room or screen that should show something different.
- Add slides you only need at one moment (a paddle raise thermometer, a winner announcement) with Include in rotation turned off, then put them up with Show Now.
- Use Manual advance during the live auction or a drawing so the screen doesn't rotate away mid-moment.
Frequently asked questions
Does my AV team need a BetterUnite login?
Not to display the presentation. The screen link works without a login. They only need a login if they will switch slides from the Event Day Kiosk.
What happens if our internet drops for a moment?
The screen keeps showing its current slides while it reconnects, and picks up any changes as soon as the connection is back.
Can I show the presentation on more than one screen?
Yes. Open the same screen link on every screen that should show the same thing. For a screen that should show something different, create another presentation.
