Event Reports
Efficiently track and analyze your event performance with Event Reports. This article guides you through accessing your reports, understanding the most-used ones, exporting your data, and finding reports outside the event dashboard.
How to Access Event Reports
-
Navigate to Reports
- Open your Event Dashboard and click on the Reports tab to access all available event reports.

-
View Event Statistics
- Your event statistics display at the top — a snapshot view of all fundraising for your event, broken down into ticket sales, items for sale, fund-a-need proceeds, donations, and raffle tickets.
- Hover over the info icon (the small i next to each statistic) for a deeper explanation of what is included in that number.

-
Interactive Data
- Any numbers or text highlighted in blue are clickable. These provide in-depth insights and allow you to analyze specific data points.
- Export Data
- Click on any blue text or number to export as a CSV or Excel file for further analysis and record-keeping.
The Most-Used Event Reports
Below the event statistics, you'll find your event reports. Here are the ones most fundraisers reach for, and when to use each.
- All Paid and Pending Transactions
- This is the report most users pull. Use it to reconcile your event and confirm everything came through correctly.
- Includes every transaction, all fees, whether the donor covered the fees, and all pledges. Pledges and unpaid items appear at the bottom of the report — including purchases still sitting in open carts.
- Tip: When the file opens, scroll to the right to see additional columns including net amount, gross amount, who paid the processing fee, and exactly what was purchased.
- Proceeds by Guest / Proceeds by Table
- Proceeds by Table is especially useful for seeing who and where in the room your biggest donors were seated, so you can shepherd those relationships afterward.
- All Purchases by Offer
- Shows how each offer in your event performed (heads or tails game, wine pull, etc.) — a quick way to see what sold best.
- Guest List
- We always recommend exporting your guest list before your event as a backup.
- Reports with the list icon (three small horizontal lines) pull into a list within your BetterUnite account rather than exporting to a file. You can still export from that screen.

Pro Tip: Scroll right. In every event report, additional columns are hidden off-screen by default. The view appears to end on the right edge, but it doesn't — scroll over to see net, gross, fee details, and other information you may have thought was missing.
Guest Reports
These reports help you spot gaps and prepare for check-in.
- Purchases with Open Guest Slots
- Lists purchases that include unfilled guest spots. An open guest slot is a ticket that does not have a name added to it. Such as a table purchase with names not provided for all the tickets. This is largely handled by your guest communications, but the report is a useful backup.
- Guests Without Card on File
- Quickly identify guests who haven't yet stored a payment method.
- Guests Without Paddles / Paddles Assigned
- See at a glance which guests have not been assigned a paddle, and which have.
Auction Activity Reports
Continue scrolling on the Reports tab to find reports specific to auction participation and performance. These are especially useful for analyzing how each auction item did.
- Item Bid Counts
- Shows how many bids each item received — one of the most popular reports for analyzing auction item performance.
- Bids by Bidder / Bids by Item
- Quick exports breaking down activity by bidder or by item.
- Highest Bids
- See the top bid for each item.
- Auction Fulfillment
- Tracks items you've marked as fulfilled. [[ EMMA: add a brief definition — what does "marking an item as fulfilled" mean in BetterUnite, and where is that done? A link to the relevant fulfillment article would be ideal here. ]]
- Auction Items (Unsold / Pending Payment)
- See unsold items and items still awaiting payment.

Pro Tip: Reuse your auction items year over year. If you run similar auction items each year, export the auction items report and reuse the file as your import for next year's auction. How to Bulk Import Auction Items
Working with Exported Reports
Once you've opened a report in Excel, a few quick tools make it much easier to analyze:
- Filter: Select your header row, then click Data > Filter to filter any column.
- Freeze panes: Freeze the top row or first column so headers and identifiers stay visible while you scroll.
- Totals: Sum columns at the bottom to get quick totals across transactions, proceeds, or fees.
- Delete columns you don't need to focus on the data that matters for your analysis.
Other Ways to Access Event Reports
The Reports tab on your Event Dashboard isn't the only place to find event reports. Two additional access points are useful for quick lookups and cross-event analysis.
- From the Event Dashboard — Custom Reports dropdown
- Within your event's reports area, the Custom Reports dropdown lets you navigate to any of your other events and jump directly into that event's reporting center.
- From the Home Dashboard — Full Reporting Center
- From your home dashboard, open the Reports.
- Choose All Campaigns and Events and select an event to open its curated reporting center.
- You can also pull a transactions report by campaign from here. Choose Paid Transactions, set minimums and maximums, customize which columns to display, and export.
Tips for Effective Use
- Leverage the clickable blue data for easy filtering and export.
- Use exported files to create custom analyses or presentations.
- Hover over the info icon for an explanation of what's included in each report.
- Always scroll right on any exported report — important columns like net, gross, and fee details sit off-screen.
- Export your guest list before the event as a backup.
