Generating Service Transcripts and Certificates

A service transcript is a branded PDF document that summarizes a volunteer's approved service hours. Volunteers use these for school community-service requirements, court-ordered service verification, scholarship applications, or personal records.

What's included in a service transcript

Each transcript contains:

  • Your organization's name and logo
  • The volunteer's name
  • A detailed log of each approved service entry — date, shift, job, check-in/checkout times, and hours credited
  • Total approved hours

Only approved hours appear on the transcript. Pending or rejected entries are excluded.

Downloading a transcript as an admin

  1. Navigate to the contact record for the volunteer.
  2. Open their Volunteer tab.
  3. Click Download Service Transcript.
  4. The PDF is generated with your organization's branding and downloads immediately.

You can generate transcripts for any volunteer at any time — useful when a volunteer calls or emails asking for a record of their hours.

How volunteers download their own transcript

Volunteers with portal access can download their own service transcript from the Hours section of the volunteer portal. They don't need to contact you to get a copy.

When to use service transcripts

  • Schools and universities — Students often need documented proof of community service hours for graduation requirements or scholarship applications.
  • Court-ordered service — Individuals completing court-mandated volunteer hours typically need official documentation from the supervising organization.
  • Corporate volunteer programs — Employees may need verification of volunteer hours for employer matching or CSR reporting.
  • Year-end recognition — Generate transcripts as part of a volunteer appreciation mailing to show each person the impact of their time.
