How do create an offline subscription

An offline subscription allows you to create a membership subscription without storing a credit card or payment method on file. This is useful when payments are collected outside of BetterUnite (cash, check, ACH, invoicing, third-party processors, etc.) and your organization is responsible for managing the payment process.

Offline subscriptions behave like regular memberships, but billing is manual and no automatic charges are created.


What is an offline subscription?

An offline subscription is a membership subscription that:

  • Has no card or payment method on file

  • Is billed as Manual

  • Is not automatically charged

  • Allows administrators to apply payments manually

  • Maintains full membership tracking and history

This is essentially an offline transaction completed through the membership sign-up workflow.


How to create an offline subscription

You can create an offline subscription directly from the membership sign-up dashboard.

Steps

  1. Go to Membership Management

  2. Open the Membership Sign-Up Page Dashboard

  3. Click Add Offline Purchase

  4. Complete the membership sign-up for the member

    • Select the membership plan

    • Enter member information

    • Skip payment method entry

  5. Save the purchase

Once completed:

  • A subscription is created

  • The subscription billing type is marked as Manual

  • No payment method is stored


What happens after the offline subscription is created?

After creation:

  • The subscription appears alongside all other memberships

  • Billing status is clearly marked as Manual

  • No automatic billing or recurring charges occur

  • The membership remains active according to its start and end dates

This allows your organization to track membership status without relying on automated payments.


Applying payments to an offline subscription

Offline subscriptions still support payment tracking.

You can apply payments manually just like you would for a regular subscription:

  • Record offline payments (cash, check, external processor)

  • Apply payments directly to the subscription

  • Maintain accurate payment history and reporting

This ensures subscriptions stay up to date even without automated billing.


Important things to know

  • Offline subscriptions will never auto-charge

  • Your organization is responsible for collecting payments externally

  • Payments must be applied manually

  • Subscription status (active, past due, completed) updates based on applied payments and dates

  • Members pay by check or cash
