How to update a non-ticketed bidder card-on-file

We have different ways of handling bidder cards on file. Similarly to ticketed events, the guest or the bidder cannot really update their card after they register directly as this should be controlled by the administrators, especially after the guest makes purchases. For ticketed events, the admins can replace their card on file from the guests page or the check-in page, but for non-ticketed bidders it's not as straight forward.  There are couple of options to handle this scenario based on the bidder's activity. This is also based on the auction setting set to requiring a card on file to bid on the auction (which is an option you can turn off if you feel comfortable although not typical or recommended).

  • If the bidder has not yet bid on any items, you should be able to delete this bidder record (event dashboard->guests->locate bidder, and click delete bidder.). This will invalidate their bidder/guest access and they will need to register again with a new card on file.

  • If a bidder has already placed bids, then you can't remove their bidder record anymore and the card is not updatable at this stage in their activity. However, if the bidder ends up winning items or makes donations, they will end up with a cart (guest carts) and at this stage you can remove the card currently on file for that cart. Basically, effectively, having the ability to change what card to charge during checkout which is the ultimate goal here. We are working to make this function more direct for the bidder and the admin. In the meantime, I suggest noting this request from the bidder, and during the checkout process, clearing their card on file in the cart. After that, you can send them their checkout URL so they can complete their purchase using their preferred card.
