Import Event Guests & Event Transactions
In this article, we'll walk you through the process of importing guests and purchasers into your BetterUnite event. This feature allows you to easily manage attendee lists and ensure all participants are accurately accounted for in your event setup.
- To Import Attendees, you can go to your Manage Event page and click on Actions -> Import Attendees.
- If you don't already have a CSV file prepared click on to download file template with sample data. Which will give you a template you can work from.
- Once you have your CSV file ready for Import either drag this file to the Browse Box or click on Browse to locate your file.
- In the template provided there will be columns for you to fill out.
- Import Group: This column is required. This is used to indicate which rows/guest tickets should be considered to be part of the same registration/purchase. Please look at the sample template for examples of how this can be used. Essentially, as a common example, it's a way to make sure group tickets are created as a single purchase with multiple guest/ticket slots in it, instead of creating a group of tickets for each row.
- Purchaser First Name: The first name of the person who is registering/purchasing the ticket/tickets
- Purchaser Last Name: The last name name of the person who is registering/purchasing the ticket/tickets
- Purchaser Email: The email address of the registrant/purchaser
- Number of Tickets: The number of tickets purchased by the registrant.
- Guest First Name: If the registrant/purchaser will be the first guest, his/her first name will be entered in this column. Under the same column the rest of the ticket holders first names will be entered.
- Guest Last Name: If the registrant/purchaser will be the first guest, his/her last name will be entered in this column. Under the same column the rest of the ticket holders last names will be entered.
- Guest Phone Number: In this column you can enter the phone details of each guest.
- Ticket Name: Type of ticket that is purchased would be entered into this column.
- Paddle No: If there is particular paddle number associated with a guest, you can enter in this column.
- Status: In this column you can indicate whether the guest has registered, checked in.
- Table Number: If the guest is assigned to particular Table Number, you can indicate the Table number in this column.
- Table Name: If the guest is assigned to particular Table, you can indicate the Table name in this column.
- Table Captain: Enter the Table Captain details in this column.
- Team Name: Enter the Team Name if there is one set up.
- Team Captain Name: Enter the name details of the Team Captain if there is one assigned.
- For a set of available fields that you are available to import, please review the article Data Import Fields.
- Below is the example template. Delete these contents except for the header row before adding your data, or simply use this template as an example when building your own template.
In this example data the system will create:
- A purchase by Amanda Brown for 2 tickets named Individual Ticket". The first ticket holder will be marked as Amanda Brown (since this was provided in the Guest Name columns). When created the purchase will show 2 tickets and one will be blank since no other guest is specified under this purchase
- Anthony Margo will show as having purchased a bronze sponsor ticket, which is a Table of 10 individual tickets. In this case, since there are 2 rows with guest information under this purchase, these 2 will be assigned a ticket (Anthony Margo and Celeste Margo rows). There will be 8 other tickets with no contact information under the same purchase.
- A purchase by Ashton Rice will be logged for 10 tickets, and one of the tickets will have the guest name as "Ashton's wife", and the other tickets will not have an assigned name.
- A single ticket for Carol McLane with the same guest name will be created.
- After Uploading your file, In the pop up window below you can see the drop down lists show existing fields that can be mapped to. Regardless of what your CSV column says, you can map it to a contact record field. If you use our template, the mapping is easier because it'll automatically match the names.
- Once you have reviewed the data click on Import.
