How to Move Auction Items to Another Event
Sometimes you need to transfer auction items between events — whether it's rolling unsold items into your next gala, correcting a mis-assignment, or consolidating events. This guide covers how to move a single item or all eligible items in bulk.
Before You Begin
Not all items can be moved. The following guard rails protect your data:
- Items with bids cannot be moved. Remove all bids first if you need to move a bid-on item.
- Purchased or Awarded items cannot be moved. These have completed transactions tied to them.
- The target event must have an auction. Only events with an active auction section will appear as options.
- Categories will be cleared. Categories are event-specific, so you will need to re-categorize items after moving them.
- Item numbers are automatically reassigned if there is a conflict in the target event (e.g., both events have an item #101). You will be notified of any changes.
Moving a Single Auction Item
- Navigate to your event and open the Auction management page.
- Click on the auction item you want to move. The item edit panel will open on the right side.
- Scroll down to the bottom of the Details tab.
- Click the "Move to Another Event" link.
- In the modal that appears, select the target event from the dropdown.
- Click Move Items and confirm when prompted.
- A summary will display showing the item was moved successfully, including any item number changes.
Note: The "Move to Another Event" link will not appear for items that have been purchased or awarded.
Bulk Moving All Eligible Items
This is ideal for rolling all unsold items from a completed event into an upcoming one.
- Navigate to your event and open the Auction management page.
- Click the Bulk Options dropdown button (located above your item list).
- Under the Items section, click "Move All Eligible to Another Event".
- In the modal that appears, select the target event from the dropdown.
- Click Move Items and confirm when prompted.
- A detailed summary will display showing:
- Moved Items — successfully transferred, with any item number changes noted.
- Skipped Items — items that could not be moved, along with the reason (e.g., "Has bids", "Purchased", "Awarded").
After Moving Items
- Verify item numbers. If any item numbers were reassigned due to conflicts, the summary will show both the original and new numbers.
- Re-categorize items. Since categories are event-specific, moved items will need to be assigned to categories in the new event.
- Review item visibility. Confirm that moved items have the correct visibility and guest access settings for the new event.
Frequently Asked Questions
Can I move an item back to the original event?
Yes. Open the item in the target event and use "Move to Another Event" to send it back.
What happens to the item's images?
Images remain attached to the item and will appear in the new event.
What happens to provider/donor information?
All provider details, GIK cost, solicitor info, and custom fields are preserved during the move.
Why don't I see the "Move to Another Event" link?
The link is hidden for items that are in Purchased or Awarded status. It also does not appear when adding a new item — only for existing items.
Why is an item listed as "Skipped" in the bulk move?
Items are skipped if they have any bids placed on them, or if they have already been purchased or awarded. The reason is shown next to each skipped item.
