Moving a Volunteer Signup to Another Shift

Sometimes a volunteer needs to switch to a different shift — they can't make their original time, or you need to rebalance headcount across shifts. Instead of cancelling their signup and re-registering them, you can move them directly to another shift in one step.

How to move a signup

  1. Open your volunteer campaign and go to the Manage Participants (check-in) screen.
  2. Find the volunteer you want to move.
  3. Click the three-dots menu (…) on their row.
  4. Select Move to another shift.
  5. A modal appears with a dropdown showing available shifts for the same job.
  6. Select the target shift and click Confirm.

The volunteer is immediately moved — their signup transfers to the new shift, and all counters (signed up, remaining capacity) update automatically on both the original and target shifts.

How the shift picker works

The dropdown only shows shifts that meet these criteria:

  • Same job — The volunteer stays in the same role. If they're signed up as a "Greeter," the picker shows other shifts that have the "Greeter" job.
  • Open capacity — Only shifts with available spots are listed. Full shifts are excluded from the picker to prevent overbooking.
  • Different from current — The volunteer's current shift is excluded (since they're already on it).

If no eligible shifts appear in the dropdown, it means every other shift for that job is at capacity. You'd need to increase capacity on a shift first (from the Jobs & Shifts tab) before moving the volunteer there.

What gets updated

When you move a signup:

  • The volunteer's shift assignment changes to the new shift.
  • The signed-up count decreases by one on the original shift and increases by one on the target shift.
  • The remaining capacity adjusts accordingly on both shifts.
  • The volunteer's job stays the same — only the shift (date/time) changes.

When to use move vs. cancel and re-register

Scenario Use
Volunteer needs a different time slot for the same job Move — fastest, one step
Volunteer wants to switch to a completely different job Cancel and re-register — the move feature only works within the same job
You're rebalancing headcount across shifts Move — transfer volunteers one at a time to the shifts that need them
Volunteer asked to cancel entirely (not attending) Cancel — don't move them, just remove the signup

Things to know

  • Check-in status resets — If the volunteer was already checked in on the original shift, moving them resets their check-in status on the new shift. They'll need to check in again for the new shift.
  • Works for any admin — Any campaign admin can move signups. Volunteers cannot move themselves from the portal (they would cancel and re-register instead).
  • Audit trail — The move is recorded in the system, so you can see that the volunteer was transferred rather than manually removed and re-added.
