Participant Email Settings
Participant email lets the people fundraising for your peer-to-peer event email their own supporters from their fundraising page. Each fundraiser keeps a private contact list, writes a personal message, and sends it. Emails go out from your organization's verified sending domain with the fundraiser's name on them, and replies go to the fundraiser.
Before You Start
Participant email can only be turned on when your organization has both of these:
- A verified email sending domain. Participant emails are sent from your own domain's default sender, never from a shared BetterUnite address, so your domain must be verified and in good standing.
- A mailing address on file. Every participant email includes your organization's mailing address, as anti-spam law requires. Add an organization location with a street address, city, state and ZIP code.
If either is missing, the settings card says which one, and saving with participant email turned on is refused.
You need full access to your organization to see and change these settings.
Turn On Participant Email
- Open your event in the campaign editor and go to the Peer-to-Peer tab.
- Find the Participant Email card.
- Turn on Allow fundraisers to email their supporters.
- Set the Daily limit per fundraiser.
- Review the Email templates.
- Click Save participant email settings.
Fundraisers see new Contacts and Email tabs on their fundraising page editor the next time they open it.
Daily Limit
The daily limit is the most people one fundraiser can email in a day, counted across all of their fundraising pages for your organization. The default is 100, and the highest allowed is 500. The day runs from midnight to midnight UTC. Every recipient counts, including emails that later bounce or are canceled, so a fundraiser cannot get around the limit by canceling and resending.
Each email can go to at most 500 people, regardless of the daily limit.
Email Templates
Templates are starting points that fundraisers pick when writing an email, then edit. Every event starts with three: an ask for support, an invitation to join a team, and a thank-you. You can edit them, remove them, or click Add template, up to 20 in all. Each template needs a subject and a message.
Templates can use these personalization fields, which are filled in for each recipient:

Messages are plain text. Line breaks are kept; formatting and images are not.
What Recipients See
- From: your sending domain's default sender address, with a name like "Jordan Smith via Your Organization".
- Reply-to: the fundraiser's own email address.
- Footer: a line saying the fundraiser sent it from their fundraising page, your organization's name and mailing address, and a link to unsubscribe from all participant fundraising emails for your organization. Mail apps such as Gmail also show their own one-click unsubscribe button.
Unsubscribes, Bounces and Privacy
- One unsubscribe covers every fundraiser. When someone unsubscribes from a participant email, no fundraiser for your organization can email them again, in this event or any other.
- Your newsletters are not affected. Unsubscribing from participant email does not unsubscribe someone from your organization's own email. The reverse does apply: anyone on your organization's email suppression list, or any contact marked do-not-email or unsubscribed in your records, is never emailed by a fundraiser.
- Spam complaints and invalid addresses are treated like unsubscribes. A temporary bounce, such as a full inbox, does not block the address.
- Fundraisers' contact lists stay private. You cannot see them, and they are never added to your contacts or donor records.
Emails That Need Attention
The bottom of the Participant Email card lists emails that did not go out cleanly, with the recipient's address partly hidden.
- Failed means the mail service refused the email and nothing was sent. The fundraiser can click Try again on their side.
- Unknown means the mail service did not confirm in time, so the email may or may not have gone out. These are never resent automatically, so nobody is emailed twice. If your delivery reports later show the email arrived, its status updates on its own. The SparkPost transmission number, when there is one, helps BetterUnite support trace it.
Click Refresh to update the list.
Turning Participant Email Off
Turn off Allow fundraisers to email their supporters and save. The Contacts and Email tabs disappear from fundraising pages, and any emails that have not gone out yet are canceled. Fundraisers' contact lists and sent history are kept, so turning it back on picks up where they left off. Emails also stop going out when the event is no longer active.
Good to Know
- If you open a fundraiser's page as the master campaign administrator, you do not see their Contacts and Email tabs. Those tabs act as the fundraiser, with their contact list and their name on the email.
- If you use the Lock user access option, fundraisers cannot use participant email either.
- Participant email is separate from the automated milestone emails under Fundraiser Team Communications, which your organization sends to fundraisers.
