QR Code Check-in: Print, Post, Done
QR code check-in lets volunteers check in by scanning a printed code with their phone — no app download, no login required. Print a poster, tape it to the wall, and you have an unmanned check-in station.
Generating QR codes
- Open your volunteer campaign.
- Click "Links /Embed / QR" button.
- Select "Check-in" tab
- You'll see two options:
- Campaign QR code — A single code for the entire campaign. Volunteers select their shift after scanning.
- Per-shift QR codes — A separate code for each shift. The shift is pre-selected when volunteers scan.
- Click Print to generate a printer-friendly poster page with the QR code, your organization logo, campaign name, and scanning instructions.
What volunteers see when they scan
QR check-in doesn't require a BetterUnite account. Here's the flow:
- The volunteer scans the QR code with their phone camera.
- A mobile-friendly web page opens asking for their email address.
- The system looks up their registration. If found, it shows their name, shift, and job with a Check In button.
- They tap Check In and receive an on-screen confirmation.
- To check out later, they scan the same QR code again — the system detects they're already checked in and shows a Check Out button instead.
When to use QR codes vs other methods
- Multiple entry points — Print a poster for each door. No need for a device at every entrance.
- Outdoor events — Laminate the poster and mount it on a sign or easel.
- Unmanned stations — QR check-in works without anyone staffing the check-in table.
- Backup method — Post QR codes alongside a kiosk so volunteers have a fallback if there's a line.
Note: QR check-in requires that volunteers were pre-registered (via the signup page or admin quick-add). For day-of walk-ins who weren't registered, use the kiosk or the admin check-in screen's walk-in form.
