Schedule Blackbaud Syncs

Use the Blackbaud Sync Schedule to automatically sync eligible BetterUnite donations to Blackbaud at selected times each day. This helps keep recent campaign donations updated in Blackbaud without manually syncing each campaign.

Before You Start

Make sure your Blackbaud integration is connected in BetterUnite.

You should also confirm that each BetterUnite campaign you want to sync is mapped to a Blackbaud Fund. Scheduled syncs only include donations from campaigns that have a Blackbaud Fund selected.

What Gets Synced

When a scheduled Blackbaud sync runs, BetterUnite will attempt to sync eligible donations to Blackbaud.

Scheduled sync includes donations that are:

From the last 30 days
Not already synced to Blackbaud
Not fully refunded
Not marked as Do Not Sync
Connected to a campaign that is mapped to a Blackbaud Fund

For each eligible donation, BetterUnite will attempt to:

Find or create the donor as a Blackbaud constituent
Create the gift in Blackbaud
Apply the mapped Blackbaud Fund
Use your selected sync amount option

Scheduled Blackbaud syncs do not automatically sync older donations. Older donations should be synced manually from the Blackbaud integration fundraiser/campaign list.

Choose the Sync Amount

In Blackbaud Sync Options, you can choose which donation amount BetterUnite sends to Blackbaud:

Intended Amount: default
Gross Amount
Net Amount

This setting applies to scheduled syncs and manual donation sync behavior.

Set Up a Sync Schedule

Go to Settings.
Open Integrations.
Select Blackbaud.
Click Sync Options.
Choose your Sync Amount option.
Turn on Enable Sync Schedule.
Select one or more times under Integration Sync Schedules.
Click Save.

You can select up to 4 scheduled sync times. Times are shown in your organization’s configured time zone.

Change or Disable the Schedule

To change the schedule, return to Blackbaud > Sync Options, update the selected times, and save.

To stop scheduled syncing, turn off Enable Sync Schedule and save. This removes the automated Blackbaud sync times for your organization.

Review Scheduled Sync Runs

Use the Sync Job Runs tab on the Blackbaud integration page to review recent automated sync activity.

The table shows:

Scheduled: when the sync was scheduled to run
Executed: when the job actually ran
Status: success, failed, or another current status
Error: error details if the job failed

If there are no records yet, the page will show that no sync job runs have been recorded.

Review Donation Sync Results

From the main Blackbaud integration page, use View transactions for a campaign to review donation-level sync status.

You can filter transactions by:

Show All
Show Errors
Show UnSynced

Use this area to manually review donations that did not sync, retry eligible records, or mark records that should not be synced.

Important Notes

Scheduled syncs are designed for recent eligible donations. They do not replace manual review for older records, unmapped campaigns, sync errors, or special cases. If a campaign does not have a Blackbaud Fund selected, its donations will not be included in the scheduled sync.
