Setting Up Kiosk Mode for On-Site Check-in

Kiosk mode turns any tablet or laptop into a self-service check-in station. Volunteers search for their name, tap to check in, and move on — no login required. It's ideal for high-traffic events and day-of-service check-in desks.

Launching kiosk mode

  1. Open your volunteer campaign and go to the Check-in tab.
  2. Click the Kiosk Mode button.
  3. If your campaign has multiple shifts, you can select a specific shift to filter to — or leave it on All shifts today to show everyone.
  4. The kiosk opens in a full-screen layout with your organization's logo and campaign name displayed at the top.

Tip: On a shared tablet, use your browser's full-screen mode (F11 on most browsers) and consider enabling Guided Access (iPad) or screen pinning (Android) to prevent volunteers from navigating away.

How volunteers use the kiosk

  1. The volunteer types their name or email into the search bar.
  2. Matching results appear with the volunteer's name, shift info, and a Check in button.
  3. They tap Check in — a full-screen confirmation appears for 3.5 seconds, then the kiosk automatically resets for the next person.
  4. To check out, a volunteer searches for their name again and taps Check out (shown instead of Check in for already-checked-in volunteers).

If there's no activity for 45 seconds, the kiosk automatically clears the search and resets.

Adding walk-in volunteers from the kiosk

When an unregistered volunteer shows up, you don't need to leave the kiosk:

  1. Tap Add walk-in volunteer at the bottom of the kiosk screen.
  2. Enter the volunteer's first name and last name (required).
  3. Optionally add their email and phone number.
  4. Select a shift — it defaults to whatever shift the kiosk is currently filtered to.
  5. Select a job — the job list updates based on the selected shift, showing available capacity (e.g., "Greeter (3 left)").
  6. Tap Add & check in — the volunteer is created, assigned, and checked in all at once.

Overriding job capacity for walk-ins

Jobs that are at capacity will show "(full)" next to their name, but they remain selectable. This is by design — as an admin, you can assign walk-in volunteers to any job regardless of capacity. The capacity labels are informational so you can make an informed decision about where to place them.

Filtering by shift

Use the shift dropdown in the top-right corner to filter the kiosk to a specific shift. This affects:

  • Which volunteers appear in search results
  • The check-in/expected/no-show stats at the top
  • The default shift pre-selected in the walk-in form

Tips for a smooth kiosk setup

  • Position the tablet at your entrance so volunteers check in as they arrive, not after they've started working.
  • Use a tablet stand at chest height for easy access.
  • Keep the charger plugged in — kiosk mode stays active all day.
  • Assign a greeter to help volunteers who aren't comfortable with the self-service flow, and to handle walk-in additions.
  • Test it first — launch kiosk mode before the event and do a practice check-in to make sure everything looks right.
