The Volunteer Journey Tracker

The Journey tracker shows, at a glance, how close a volunteer is to being fully cleared to serve. It is calculated live from the volunteer's requirement records and campaign participation — nothing about the tracker itself is stored separately.

Where to find it

Open a contact's record and look in the Volunteer Activity section. Access to this view requires the volunteer requirements permission.

How stages are determined

The tracker builds its list of stages from two sources, combined:

• Every requirement the contact already has a record for (completed, waived, pending, or expired)
• Every mandatory requirement attached to any campaign the contact currently participates in

This means a volunteer's journey always reflects both what they've already done and what's still expected of them across everything they've signed up for.

What each stage shows

• The requirement's name
• Its type (waiver, background check, training, orientation, document upload, application, etc.)
• Whether it is done
• The date it was completed, if applicable

What "Done" means

A stage counts as done when the contact has a requirement record that is either Completed or Waived, and that record has not expired. An approved volunteer application also satisfies its corresponding stage automatically — approving an application writes the same kind of record behind the scenes, so it shows up as done without any extra step.

Completed stages additionally display a green check-circle regardless of type.

Progress bar and "Ready to serve"

A progress bar shows the percentage of stages completed. When every stage is done, the tracker displays a terminal Ready to serve badge in green, signaling the volunteer has no outstanding requirements blocking them from any of their current assignments.
