Understanding the Engagement Score
What Is the Engagement Score?
The Engagement Score is a single number from 0 to 100 that summarizes how actively someone is engaging with your organization. It’s designed to give you a quick, at-a-glance signal of relationship strength based on real activity data.
How the Engagement Score Is Calculated
Behind the scenes, the system calculates a raw engagement total based on recent activity, email engagement, event participation, and giving history. Once that raw total is calculated, it’s finalized using the following rules:
-
If the calculated score is below 0, it is set to 0
-
If the calculated score is above 100, it is set to 100
-
Otherwise, the score remains unchanged
The system then saves:
-
Engagement Score - the final value (0–100)
-
Engagement Score Updated At - the date and time the score was last calculated
This ensures scores are always easy to interpret and stay within a consistent range.
How to Interpret Engagement Scores
80–100: Highly Engaged
People in this range are very active and connected. They may:
-
Frequently open or click emails
-
Have recent and repeated activities
-
Attend events regularly
-
Have given recently
These contacts are often your strongest advocates or most responsive supporters.
40–79: Moderately Engaged
People in this range show consistent but lighter engagement. They may:
-
Have some recent activity or giving
-
Open emails but take fewer follow-up actions
-
Engage periodically rather than frequently
These contacts often benefit from targeted follow-ups or re-engagement efforts.
0–39: Low or Unknown Engagement
People in this range have limited or no recent engagement. They may:
-
Have little or no recent activity, events, or giving
-
Not be opening or interacting with emails
-
Be new, inactive, or missing recent data
This group may need outreach, re-introduction, or data cleanup.
Why Engagement Scores Change Over Time
Engagement Scores are dynamic and update automatically as data changes. The system looks at activity within rolling time windows, including:
-
The last 90 days
-
The last 12 months
-
The last 3 years
As new emails, activities, events, and gifts are recorded - or as older interactions fall outside these time windows - scores will naturally increase or decrease. This ensures the Engagement Score always reflects current, meaningful engagement, not outdated history.
In Summary
The Engagement Score gives you a reliable, easy-to-understand snapshot of how engaged someone is right now, helping you prioritize outreach, tailor messaging, and focus on the relationships that matter most.
