Volunteer Reports: What's Available and How to Filter

BetterUnite includes several built-in reports to help you understand your volunteer program's performance — from shift fill rates to individual hours served. All reports are filterable and exportable.

Finding your reports

Volunteer reports are available in two places:

  • From a campaign — Open your volunteer campaign and go to the Reports tab to see reports scoped to that campaign.
  • From the Reports section — Go to Reports in the main navigation for organization-wide volunteer reports that span all campaigns.

Available reports

Job & Shift Fill Report

See how full each shift and job combination is at a glance. For every job on every shift, this report shows:

  • Capacity — The maximum number of volunteers set for that job on that shift
  • Signed up — How many volunteers have registered
  • Remaining — Open spots left
  • Fill % — A visual progress bar showing how close the job is to full

This report helps you spot understaffed shifts before they happen so you can focus your recruitment outreach where it's needed.

Volunteer Hours Report

A detailed record of volunteer participation with the following columns:

  • Volunteer name
  • Email and phone
  • Job — The role they signed up for
  • Shift — The shift name and time range
  • Checked in / Checked out — Actual timestamps
  • Scheduled hours — Based on the shift's start and end time
  • Actual hours served — Based on check-in and checkout times (credited hours after clamping)

Use this report to compare scheduled hours against actual hours served and identify patterns — for example, shifts where volunteers consistently leave early.

Hours Threshold Report

Find volunteers who have served above or below a specific number of hours across your entire organization. This report is useful for:

  • Recognition — "Show me everyone with 50+ hours this year" for an appreciation event
  • Compliance — "Show me volunteers with fewer than 10 hours" who may need follow-up
  • Grant reporting — "How many volunteers contributed 100+ hours?" for funder reports

Set a minimum hours and/or maximum hours threshold, and the report shows all matching volunteers grouped by contact with their total hours.

Filtering your reports

All volunteer reports support filters to narrow down the data:

Filters are applied before export — what you see on screen is what you get in the downloaded file.

Exporting reports

Click the Export button on any report to download the filtered data as a CSV file. The export respects whatever filters you have active, so you can narrow down to exactly the data you need before downloading.
