Walk-In Quick-Add for Volunteers
Walk-In Quick-Add lets staff register a volunteer who shows up without a prior signup and, optionally, check them in immediately. It creates a real registration on the spot instead of routing the person through the public signup form.
Where to find it
- Manage Participants page — click the WALK-IN QUICK ADD button. This opens the Walk-In Quick-Add modal.
- Kiosk Mode — tap the walk-in toggle on the kiosk screen to bring up the same quick-add flow for use at a check-in table.
Form fields
- First name
- Last name
- Email — leaving this field looks up matching existing contacts automatically
- Phone
- Existing-contact match list (appears when a match is found)
- Shift dropdown (optional)
- Job dropdown
- "Check in now" toggle
- Add volunteer button
Duplicate lookup
When you tab out of the email field, the system runs a fuzzy lookup against email, first name, and last name and returns up to 8 candidate contacts, each showing name, email, and phone. If one of the candidates is the person standing in front of you, select them instead of creating a duplicate contact record.
What happens when you submit
- Resolve the contact. The system uses, in order: the contact you explicitly selected from the match list, then an exact email match, then falls back to creating a brand-new contact (first and last name are required in this case).
- If no job was chosen, the campaign's default job is used.
- A registration and a participant record are created for the selected shift.
- If Enroll in series is checked, the volunteer is also enrolled in the remaining occurrences of a recurring shift, not just the one selected.
- If Check in now is on, the system:
- Checks for a missing volunteer application and, depending on the organization's setting, either warns or blocks the check-in until the application is handled.
- Checks for unmet mandatory waiver requirements. If any exist, the kiosk signing overlay is triggered before check-in completes.
- Otherwise completes the check-in immediately, tagged with method "Admin" and device label "Walk-in."
How walk-ins differ from pre-registered volunteers
| Walk-in | Pre-registered |
|---|---|
| Registration created at the table, on the spot | Registration created earlier via the public signup form |
| New contacts get their source campaign set to this campaign | Source campaign reflects whatever campaign the signup came from |
| Check-in is tagged Method = Admin, Device Label = "Walk-in" | Check-in method/device reflects however that check-in occurred (kiosk scan, self-check-in, etc.) |
Reporting
Because walk-in check-ins carry the "Walk-in" device label and "Admin" method, you can filter or segment shift and event reports to see how many participants were walk-ins versus pre-registered signups.
