What data is sync'ed with ChatGPT sandbox

If you choose to sync your data with ChatGPT sandbox as part of your Better.AI module, following fields are transferred to your safe sandbox

Data Included in AI Sync

When you run AI Data Sync, the system uploads a snapshot of contacts and donations for your organization. This page documents exactly what data is shared, so you know what the AI can see and use. Remember that these details are only within your own ChatGPT sandbox and are not shared with the world.

Two files are generated during each sync:

  1. Contacts file

  2. Donations file

Only the fields listed below are included.


Contact Data Sent to AI

For every contact in your organization, we sync a curated set of fields that help the AI identify donors, understand their relationship to your organization, and tailor language appropriately.

Identity & Profile
  • Contact ID

  • First, middle (if available), and last name

  • Title (Mr., Ms., Dr., etc.)

  • Preferred/formal addressee

  • Informal addressee or nickname

  • Household name

  • Gender and pronouns

  • Date of birth

Contact Information
  • Email addresses (primary and secondary)

  • Phone numbers: cell, work, home

  • Addresses (primary and secondary):

    • Street 1, Street 2

    • City, State/Province

    • Postal/ZIP code

    • Country

Employment & Organization
  • Employer

  • Occupation

  • Job title

  • Company/organization name

  • Donor type (individual, organization, household)

Household & Relationships
  • Marital status

  • Spouse name

  • Spouse employer and occupation

  • Household grouping indicator

Online Presence
  • Website

  • Facebook URL/handle

  • Twitter handle

  • LinkedIn profile

  • Instagram handle

  • Legacy Google+ URL (if present)

Fundraising & Segmentation
  • Account number / constituent ID (if used)

Donation Data Sent to AI

For every donation, we send a compact record focused on gift details, attribution, and context. Payment fields are informational only and are never used for processing.

Amounts & Currency
  • Amount

  • Currency

  • Deductible amount

  • Combined fees

  • Donor tip amount

  • Who pays tip

  • WePay gross, fees, refunds (if applicable)

Gift Details & Dates
  • Created date (gift date)

  • Anonymous flag

  • Acknowledged flag

  • Purchased gifts summary (e.g., tickets, items)

Payment Context (Non-Sensitive)

Included only to help the AI reference payment flows (e.g., Stripe vs PayPal):

  • Payment type (card, ACH, check, cash, etc.)

  • Payer name and email

  • Merchant payout ID

  • PayPal merchant and order IDs

  • Stripe checkout and destination payment IDs

  • WePay reference number

  • Fee payer (donor vs organization)

These fields cannot be used to charge, refund, or access payments.


Summary

The AI sync includes:

  • Contact data: identity, contact info, employment, household relationships, social links, communication preferences, tags, donor status/type, and personalization metadata.

  • Donation data: gift identifiers, amounts, currency, deductible portions, fees/tips, dates, anonymity and acknowledgment flags, notes, tags, and non-sensitive payment identifiers.

No passwords, credentials, or payment methods are ever sent.

This limited dataset supports:

  • Better personalization in AI-generated content

  • More accurate donor summaries and recommendations

  • Insight into giving patterns and engagement history
