Word / Letter Templates and Word Merge

Word merge templates to generate statements for donors or donations

Upload your own Word templates and generate statements for donor(s) or donation(s) one at a time or in bulk.

Starting point is Settings->Word/Letter Templates.

Prepare your Word Template

First step is getting your Word template file ready with your content, and with your selected merge text fields inserted in the specific format.  You can locate available merge fields by clicking the Merge Fields Example button and locate the merge fields you may use. This list of merge fields will expand over time as we add more options.

Manage your templates

Once you have your template(s) ready, you can upload it to your account by using the Add New button.  You can maintain your list of templates here, and these templates will be accessible from various places in your account as described in the next section below.

 

 

You can give your templates a name and description for internal reference purposes, and upload your document.

 

Generate letter(s)

You may generate your letters from multiple places in your account. The starting points for generating a letter is as follows:

1) Contacts list: On the Contacts -> Contacts & Donor Management page, select one or more contacts, click Bulk Actions, select Generate Letters.

2) Contact page: When viewing a specific contact record, click Actions button, select Generate a Letter.

3) Transactions list: On the Giving -> Transactions page, select one or more transactions, click Bulk Actions, select Generate Letters.

4) Transaction view pop up window: If you select a specific transaction, in the pop up window select Actions -> Generate a Letter. This will display a dropdown list of available templates, select a template to generate a letter for this donation.

Note: Based on the above starting point record, some merge fields may not be available,. For instance, if you start with a contact record and your template has Donation Date and Donation Amount merge fields, these will not be merged because you would need to use the Last Donation Date and Last Donation Amount merge fields when using contact-based template since a donor can have multiple donations and the "donation date" merge field for a contact record would not make sense.

Select template to use. You may click View Template to review the template file before you generate the letter. When you're ready, click Generate File to download a merged Word letter document.
