Word Merge Templates: System Gallery

BetterUnite includes a built-in letter generation system that lets you create personalized documents using Word templates with merge fields. You can start with pre-built templates from the system gallery or upload your own custom Word documents.


What Are Word Merge Templates?

Word merge templates are .docx files that contain placeholder merge fields (like  or ). When you generate a letter, the system replaces those placeholders with actual data from your contacts, donations, event participants, or auction items -- producing a personalized document for each record.


The Starter Template Gallery

BetterUnite provides a gallery of pre-built templates to get you started. These cover common nonprofit use cases:

When you first access the letter templates section, the gallery is displayed automatically. Click Add to My Templates on any starter template to copy it to your organization's template library. Once added, you can edit, customize, or use it as a starting point for your own version.


Getting Started

Accessing Templates

  1. Navigate to Statements & Letters from your admin menu.
  2. Go to the Letter Templates section.
  3. Click Sample Merge Templates to view the Starter Template Gallery
  4. Click Add to My Templates on any template you want to use.

Uploading a Custom Template

  1. In the Letter Templates section, click New Template.
  2. Enter a name for your template.
  3. Upload a .docx Word file using the file uploader.
  4. Save the template.
