Setting up your Pipeline Stages

Stages are the steps a grant moves through, from first idea to closed out. Set them once and every grant follows the same lifecycle, so your board and your reports stay consistent.

Find them under Grant Center → Settings → Pipeline Stages.

Stage drives status

Once your organization has stages, the Stage is what you choose on the New Grant and Edit Grant forms, and the grant's Status follows from it. You no longer set the two separately, so they cannot disagree. The form tells you which status the stage you picked is reported as.

A new grant goes on the stage you pick on the New Grant form, which starts out set to your starting stage. Picking any other stage for a new grant needs the Manage Grant Workflow permission. Grants you copy or import are given a stage automatically too, so every grant has a place on the board from the moment it exists.

What you start with

Grant Center creates a starting set of stages that maps one-to-one onto the statuses you were already using, so nothing about your existing reporting changes on the day you turn stages on.

Rename these, reorder them, add your own with Add Stage, or retire the ones you do not use.

What each setting on a stage does

Reordering

Drag stages by their handle into the order your grants actually move through, or use the up and down arrows beside each one. The order sets the left-to-right column order on the pipeline board.

Retiring a stage

You cannot delete a stage that grants have passed through, because that would rewrite your history. Instead, deactivate it. Grant Center asks which stage its grants should move to, and those grants take on that stage's status. The deactivated stage stops being offered for new moves but stays legible in past history.

Older grants with no stage

Grants created before your stages were set up, or brought in some other way, may have no stage. They do not appear on the pipeline board. When there are any, the Pipeline Stages page says how many and offers Stage Unassigned Grants, which shows where each one would go before you click Assign Stages. Each grant goes to the active stage that counts as its current status, so no grant's status changes.
