The grant team

Every grant should have somebody accountable for it. The Team panel gives a grant one owner and any number of collaborators, so a deadline always has a name against it.

The owner

Each grant has exactly one primary owner — the person answerable for moving it forward. The owner matters beyond the label:

  • Deadline reminders for the grant go to the owner, unless a specific schedule item has an owner of its own.
  • The grant appears in the owner's "My work" view in the work queue.
  • Team workload on the dashboard is counted by owner.
  • For users restricted to assigned grants, ownership is one of the things that makes a grant visible to them.

Collaborators

Add anyone else working on the grant as a collaborator, with a responsibility label that says what they are there for:

  • Contributor — general involvement
  • Finance — the budget and the money side
  • Program — the delivery side
  • Reviewer — reads and comments before submission
  • Viewer — needs visibility, not involvement

A responsibility label grants no authority. It is a description, used for display and for choosing sensible defaults when work is assigned. What somebody can actually do is set entirely by their Grant Center permissions — labeling a user "Finance" on a grant does not let them manage its payment schedule unless they hold the Manage Grant Finances permission. Setting the team

  1. Open the grant and find the Team card.
  2. Click Edit.
  3. Choose the primary owner, then add collaborators and set each one's responsibility.
  4. Save.

Removing a collaborator does not erase them from the grant's history — work they did and comments they left stay where they are.

Assigning owners in bulk

To hand over a portfolio — somebody joins, somebody leaves — select the grants on the Pipeline table and use the bulk Assign owner action rather than opening each grant.

If two people edit at once

If somebody else changes the team while you have the editor open, your save is refused with a message rather than silently overwriting their change. Reopen the panel and reapply your edit.
